The roster is the club's member list, one record per person. This page covers adding a member by hand, the join link new members use to add themselves, the three statuses a record can hold, notes, and editing a record.
The Members page
Open the club and press "Members" in the links under the club's name. Under the heading, one line names the plan: "Free plan: 12 of 25 current members." or "Club plan." The list shows every member by name, with "Name", "Email", "Status", and "Renewal date". A Club plan club also shows "Balance". Press a name to open the record.
To find someone, type part of a name or an email under "Find a member" and press "Find". A blank search shows everyone. If nothing matches, the page says "No member matches that text."
Adding a member by hand
- Scroll to "Add a member".
- Fill in "Name". The other fields are optional: "Email", "Phone", "Emergency contact", and "Notes".
- Choose a "Status". A new member is "current" unless you pick another.
- Press "Add member". The member's own page opens.
A blank name is refused with "A name is required." An email must look like one; otherwise the page says "That does not look like an email address."
The join link
Every club has one join link. It shows on the "Overview" as "Join link:" and at the top of "Members" as "Join link for new members:". Anyone with the link can add themselves to the roster as a current member, so share it wherever new members find the club, such as the newsletter or a meeting.
A joiner sees the club's name and "Join the club". They fill in "Your name" and "Email", add a "Phone" if they like, and press the button, which carries the club's name. The page then says "Thank you." and that the club has their details. The person lands on the roster as a current member with no notes and no dates.
Someone who is already a current member and fills in the form again with the same name and email is not added twice. A burst of sign-ups from one connection is slowed down; the form says "Too many sign-ups from this connection. Wait a few minutes and try again." When the club is at the Free plan cap, or its subscription has ended, the form is closed. It says the club "is not taking sign-ups through this form right now. Contact the club directly." and stores nothing.
The three statuses
A record is "current", "former", or "archived".
"current" is a member in good standing. Current members count toward the Free plan cap and toward the renewal count on the "Overview".
"former" is someone who left. The record stays whole and stops counting.
"archived" keeps only the history. Use it for a record the club wants out of the way for good.
A member is never deleted. The member's page says it plainly: "A member is never deleted. When someone leaves, set the status to former; to keep only the history, set it to archived." The club's export carries every record, whatever its status.
Notes
"Notes" is a free text field on every record, up to 2000 characters. Only the club's officers see it. A member who signs in sees their own contact details and never the notes.
Editing a record
Press a name on the roster. Every field is editable: the six from the add form, plus "Mail", "Renewal date", and "Paid through". Change what you need and press "Save". The page says "Saved."

On a Free plan club at 25 current members, changing a "former" or "archived" member back to "current" is refused. The Free plan page explains it.
The "Archive" section at the bottom of the record holds what was carried over from the club's previous system. It is read-only. Until a migration fills it, it says "Nothing carried over from a previous system."
