The club's Stripe account and the payment link

Members can pay dues by card through a link that belongs to the club. The money goes into the club's own Stripe account and never passes through Annuaro. This page covers connecting the account, what a member sees at the link, how a payment reaches the ledger, and disconnecting.

Who can use it

Card payments are part of the Club plan. On the Free plan the Payments page shows one line, "Card payments through the club's own Stripe account are part of the Club plan.", and no controls.

Connecting the club's Stripe account

  1. Open the club's Payments page. The line under the heading says where the connection stands.
  2. Press "Connect the club's Stripe account". Stripe opens its own form.
  3. Answer Stripe's questions: who the club is, who is responsible for the account, and which bank account receives the money. We keep only the account's reference and whether Stripe says it can take payments.
  4. Stripe sends you back to the Payments page. The line reads "Connected on" the day, then "The club's Stripe account can take card payments."

If Stripe still needs something, or you stopped partway, the line says setup is not finished, and "Continue setup at Stripe" opens the form again, beside "Start over" and "Check the connection".

Once connected, the page shows "Your payment link" and the club's address. Put it on the club's website and in the cutover mail.

A member who opens the link sees the club's name and "Pay your dues". They enter the email on their membership record and press "Find my dues". The page lists everyone at that address by first name with what each owes, and a "Pay" button for anyone who owes fifty cents or more. The button opens Stripe's card page. Afterward the member reads that the payment went through and "The club's records update automatically; there is nothing more to send."

The link takes payments only while the club is on the Club plan with an active subscription and a connected account. Otherwise it shows the club's name and "is not taking card payments through this page right now. Contact the club directly."

How a payment reaches the ledger

Stripe tells Annuaro about each charge. Annuaro reads the charge from the club's account and enters a payment on that member's ledger, method "card", dated the day of the charge, with Stripe's reference in the note. This usually happens within a minute and needs no officer action. The member sees the same line on their own record.

The ledger shows the amount the member paid. The club pays Stripe's card fees inside its own Stripe account; Annuaro adds no fee.

Unfiled card payments

A charge on the club's Stripe account that does not say which member it is for lands under "Unfiled card payments" on the Payments page. Each item shows the amount, the day, the payer's email when Stripe had one, and why it is unfiled.

  1. Pick the member under "Member".
  2. Press "File on this member". The page reads "Filed. The member's ledger shows the card payment."

If the charge is not dues, type why and press "Dismiss". The page reads "Dismissed. It stays in the export."

Refunds and disputes

A refund is the club's to give, from its own Stripe account. When Stripe reports one, Annuaro voids the card line and, if the club kept part of the payment, enters a new line for the amount kept. Nothing is deleted.

A dispute a member raises with their card company is also the club's, through Stripe. Annuaro does not change the ledger for a dispute. If the club loses one, void the member's card line by hand.

Disconnecting

  1. On the Payments page, press "Disconnect the club's Stripe account".
  2. Read the page. It says what stops and that the account itself is unchanged.
  3. Tick "I understand that the payment link stops taking payments." and press "Disconnect the club's Stripe account".

The Payments page then reads "Disconnected. The club's Stripe account is unchanged and still the club's at stripe.com." Every card payment stays in the ledger and in the export. To take card payments again, press "Connect the club's Stripe account"; the link's address does not change.
