Renewal reminders and the cutover mail go to members from an address at the club's own domain, such as membership@yourclub.org, not from Annuaro. This page covers setting the domain, the four records to add where the club manages its domain, the test mail, and what happens if a record later breaks.
Why the club's own domain
Mail from the club's own address, with the club's name on it, gets opened; mail from an address the member has never seen does not. The records below prove to the member's mail provider that the club allowed this mail to go out in its name.
Mail from the club's own domain is part of the Club plan. On the Free plan the Mail page shows the line "Mail from the club's own domain is part of the Club plan."
Setting the domain
- Open the club's Mail page.
- Under "Domain", type the domain the club owns, such as yourclub.org, without www or http://.
- Under "Sender address", keep "membership" or type another name. It becomes the part before the @. Choose a name the club can read mail at, because a member who replies writes to it.
- Press "Save the domain". The page reads that the domain "is saved. Add the records below, then check them."
The four records
Under "Records to add at your domain registrar" the page shows a table with four lines. Two are for SPF, one of type MX and one of type TXT. One is for DKIM, type TXT. One is for DMARC, type TXT. Each has a Name and a Value; copy both exactly into the domain's settings where the club manages it.
Records can take up to a day to show. If the club would rather not do this alone, the page says "Rather have help? Write to hello@annuaro.com and we set them up with you."
Pressing "Check the records"
After adding the records, press "Check the records". The page reads "The records were checked. The line under the table says what was found.", and the Found column shows "found", "not yet", or "failed" for each. The line under the table then says where things stand:
- "Records pending. Press 'Check the records' after you add them." means the mail service has not yet verified the SPF and DKIM records.
- "The mail service could not find the records. Check them where you manage the domain, then press 'Check the records'." means it looked and did not find them; check the values.
- "The mail service is checking the records now. Look again in a few minutes." means the check is under way.
- "Two of the three records are verified. The third, the DMARC record, is not found yet." means the DMARC record needs another look.
- "Records verified. Send the test mail to finish." means all four are found.
The test mail
- When the line reads "Records verified. Send the test mail to finish.", press "Send the test mail".
- The page reads "The test mail is on its way to Annuaro." One mail goes from the club's new address to hello@annuaro.com.
- A person at Annuaro checks that it arrived and passed the mail provider's checks. The line reads "Test mail sent on" the day, "to Annuaro. We confirm it arrived and passed the checks, usually the same day."
What "verified" means
The line reads "Verified on" the day, then "Mail from" the club's address "can go to members." All four records are found and the test mail passed. Renewal reminders and the cutover mail can now go out. Until then, no mail goes to members.
If a record later breaks
If a record is removed or changed at the domain, the line reads "The domain's records stopped verifying on" the day, then "Mail is paused until they verify again. Check the records below." No mail goes out while it is paused. Put the record back, then press "Check the records". The renewal reminders page says which reminders go out once mail resumes.
Changing or removing the domain
The Mail page has no control for this. Write to hello@annuaro.com and a person makes the change.
