The club owns its account and its data. Any officer can download everything the club has put into Annuaro at any time, on every plan. This page says what the download holds, what happens to the club's records if its subscription lapses or it closes its account, what happens to the snapshot during a migration, and what disconnecting the club's Stripe account does.
The download
- Open the club's home page and find "Your data".
- Press "Download the club's data". A zip file arrives, named after the club and the day.
There is no fee, no waiting period, and nothing to ask us for.
What the zip holds
Twelve plain spreadsheet files. Eleven hold the records: the club itself, its members in every status, the officers' notes, the archive carried over from the previous system, every dues ledger line with its voids and opening balances, what each member owes today, the club's sending domain, every mail sent for the club and what became of it, the club's Stripe account, every Stripe event received and what Annuaro did with it, and the card payments and refunds Annuaro could not place on a member. The twelfth lists the other eleven with a count of lines in each, so you can check that nothing is missing. Any spreadsheet program opens them; money appears as dollars with two decimals, a credit negative.
After a lapse
A club on the Free plan never lapses. On the Club plan, the club is read-only for 60 days after its paid-through date, and the download keeps working through those days. From day 61 the club is closed and the download with it; an officer asks us for the export instead, as the next section says. Twelve months after the lapse date the club's records are deleted, or sooner if the club asks in writing. The club's subscription page walks through a lapse day by day.
Asking for the export after the account closes
From day 61 until the records are deleted, write to hello@annuaro.com from an officer's address and ask for the export. We send the same zip within the published reply floor: three business days on the Free plan, one business day on the Club plan. A club that asks us to close its account gets its export first, and deletion follows.
The snapshot during a migration
When we move a club's records out of its previous system, everything we extract is one frozen snapshot. We keep it for 60 days after cutover, or after a stopped migration. Inside that window we do not delete it and we do not change it, and the club can ask for a copy at any time. At the end of the window we delete every copy we hold.
Disconnecting the club's Stripe account
Disconnecting the club's Stripe account from Annuaro stops new card payments through Annuaro and leaves the account, its balance, and its history under the club's sole control.
